# Driver's log

The driver's log compiles daily trips for a vehicle or driver: distance, driving time, locations, and mileage. In the report, you can also set the trip’s working status (such as business trip or private trip), add a description and an accounting dimension, and download the report as a PDF or Excel file.

The report can be found under **Reports → Vehicles and drivers → Driver's log**

### Required permissions

| Permission | What it allows |
| --- | --- |
| Driver's log, Reporting – View and edit | Open the report, view and edit trips |
| Telematics, Reporting – Driver-specific comparison report | Drivers tab and driver filter |
| Driver's log, Reporting – View and edit, Not logged in | Change the driver for a trip in the edit window |

## Finding a report

First, choose whether to search by assets or drivers, filter the search, and click **Search**.

1. Select tab:
2. - **Assets** – one report per vehicle.
    - **Drivers** – one report per driver. Visible only if you have permission for driver-specific reporting.
3. Filter the search if needed. All fields except the date range are optional.
4. Click **Search**.

| Search criteria | Assets | Drivers | Description |
| --- | --- | --- | --- |
| Vehicle | **✓** | | One or more vehicles |
| Group | **✓** | | Asset group |
| Department | **✓** | | One or more departments |
| Vehicle type | **✓** | | E.g., passenger car or van |
| Driver | **✓** | **✓** | One or more drivers |
| Team | **✓** | **✓** | One or more teams |
| Monitored asset | **✓** | **✓** | **No monitored asset** searches for trips without an assigned asset |
| Working status | **✓** | **✓** | E.g., business trips only or private trips only |
| Description | **✓** | **✓** | Searches for trips where the description contains the entered text. **No description** searches for trips missing a description |
| Start time, End time | **✓** | **✓** | Required. Current month by default |

If the time period is missing or the start time is after the end time, the message **Invalid time period** is displayed.

## Reading the results

The search displays one report card for each vehicle or driver. The card shows the selected time period's **Days**, **Distance**, **Driving time,** and **Trips**. If nothing matches the search criteria, the message **No search results** is shown.

When you click a card, its daily rows open below the cards.

- The header row shows the vehicle’s registration number and name (or driver information).
- The rows are split into pages by month. Change months using the pagination on the header row.
- Each day row displays the day of the week, date, distance, driving time, and number of trips.
- The **+** icon at the start of a day row opens that day’s trips. The **+** icon on the header row (**Show all trips**) opens all trips for the visible month at once.
- If the selected vehicle or driver has no trips during the time period, the message **No trips during time** period is displayed.

The trip table is only visible on sufficiently wide screens (around 800 pixels). On mobile phones, trips are displayed as a more compact list.

## Viewing and editing trips

In an opened day view, each trip is on its own row. Columns are selected in the settings (see Settings). You can sort rows by clicking a column header; a second click reverses the order.

The icon at the beginning of the row shows the source of the working status:

- **Person icon** – the user set the working status manually.
- **Zeppo icon** – the working status came from a Zeppo device.

### Changing the working status quickly

Click the trip's **Working status** cell.

- If the vehicle uses two working statuses, clicking will switch directly to the other one and save the change.
- If there are more working statuses, a menu opens where you select the new working status and click **Save**.
- If the vehicle has only one working status, the cell displays **Work-related trip** and the status cannot be changed.

### Editing a single trip

1. Click the pencil icon at the end of the row (**Edit trip**).
2. Edit the necessary information:
3. - **Working status**
    - **Driver** (requires permission to edit trips for assets you are not logged into)
    - [**Monitored ass**](https://)**et**
    - **Description**
4. Click **Save**.

### Editing multiple trips at once

1. Select the trips using the row checkboxes. The checkbox in the header row selects all trips for that day.
2. When at least two trips are selected, a pencil icon (**Edit trips**) appears in the header row. Click it.
3. Enter the new values and click **Save**. The values are applied to all selected trips.

On the Drivers tab, you cannot change the working status for multiple trips at once because the trips may belong to different vehicles. In this case, edit the working status one trip at a time or use the Assets tab.

## Trips on map

The globe icon opens the driving routes on a full-screen map.

- **The globe icon on a day row** (**Show trips on map**) shows all trips for that day. If you selected trips using the checkboxes, only those will appear on the map; the number on the icon shows the number of selected trips.
- **The globe icon on a trip row** (**Show trip on map**) shows a single trip.

The map includes two buttons:

- **Pencil** opens the edit window for the visible trips.
- **Eye** shows or hides the speed chart. Clicking a point on the chart shows the status, time, and speed at that moment.

The map summary displays driving time, distance, average speed, and top speed. Close the map using the close button in the top corner.

## Settings

The gear icon (**Settings**) in the header row opens the **Edit settings** window. Settings are saved per user, so they remain active the next time you use the system.

**Columns** (gear icon at the top of the window): select which columns appear in the trip table.

| Column | Default | Additional options |
| --- | --- | --- |
| Working status | On | |
| Start time, End time | On | Date and time, date only, or time only |
| Start location, End location | On | |
| Start mileage, End mileage | On | |
| Distance, Duration | On | |
| Idling | Off | |
| Emissions (g) | Off | CO2 only or all emissions |
| Consumption (l) | Off | |
| Top speed | Off | |
| Driver / Asset | On | Shows driver on the Assets tab; shows vehicle on the Drivers tab |
| Description | On | |
| Monitored asset | Off | |
| Person number | Off | |

**Additional settings** (road icon):

- **Show parking** – adds parking rows between trips, showing parking duration. Off by default.
- **Show summary** – adds a summary below the day's trips by working status and in total. On by default.
- **Line number** and **Shift number** – visible only for vehicles that have line data (Pusatec). Clicking the cell opens the trip's line, shift, and route information.

Finally, press **Save**.

## Downloading and scheduled report

You can download an open report as a file or subscribe to receive it regularly by email.

### PDF or Excel

1. Click the cloud icon (**Download**) in the header row.
2. Select **Download PDF file** or **Download Excel file**.

The file includes the entire searched date time period for the selected vehicle or driver, not just the visible month. Search criteria, such as working status and description, also filter the file contents.

### Scheduled report

1. Click the clock icon in the header row.
2. The **Create scheduled report** view opens, pre-filled with the selected vehicle or driver and working status filter.
3. Fill in the schedule details and save.

## Tips and FAQs

**The Drivers tab is not visible**. The tab requires permission for driver-specific reporting. Ask your administrator to add it.

**The card name is "Unknown."** No driver has been assigned to the trips. Add a driver in the trip edit window.

**The cell says "Not specified."** The trip is missing this information, such as a description or monitored asset.

**Cannot change working status.** Only one working status is set for the vehicle, or the change is still being saved (a loading spinner appears in the cell).

**Descriptions are missing.** Search for trips using the **No description** option, select them, and add a description to all of them at once according to the section *Editing multiple trips at once*.

**Monthly report for accounting**. Search for the current or previous month, filter the working status to work-related trip, and download the Excel file. For recurring needs, it is recommended to set up a scheduled report.
